What’s the easiest way for a small service business to invoice?

The Dutch tax year

Four btw returns and one income tax return.

The btw return is due by the last day of the month after each quarter; the income tax return by 1 May the year after. Most service businesses with consumer clients and under €20,000 turnover join the KOR and file no btw returns. Above that, the quarterly btw return applies.

Dutch tax terms

The tax office’s Dutch, in plain English.

Btw
Dutch VAT (belasting toegevoegde waarde). Usually 21%, 9% for some goods and services. You charge it on your invoices and pay it to the Belastingdienst every quarter, minus the btw on your business costs.
KOR (kleineondernemersregeling)
The small business scheme. With turnover under €20,000 a year you can choose to be exempt from btw: you charge no btw and file no btw returns, but you cannot reclaim btw on costs.
Rubriek
A box on the Dutch btw return, such as 1a (sales at 21%), 1e (0% or not taxed in the Netherlands), 3b (services to EU businesses) and 5b (btw on your costs).
KVK
The Dutch Chamber of Commerce (Kamer van Koophandel), where you register your business. You get a KvK number to put on every invoice, and the Belastingdienst sends your btw number.

Common questions.

Can my clients pay by iDEAL?
Yes, on Pro and Business. Connect your own Stripe account and every invoice can carry a Pay now link for iDEAL, card or SEPA. The money goes to your Stripe account. Stripe charges its processing fee and Bilio 1% per online payment; bank transfer stays free.
Can I invoice regular clients automatically?
Yes, with recurring invoices on Pro (€7 a month). Choose the client, the lines and the schedule, and Bilio sends each invoice on the day.
Do I charge btw to private clients?
Yes, unless you joined the KOR or your service is exempt (some healthcare and education is). Cleaning, coaching, photography and hairdressing are usually at 21%, with some services at 9%. Check your service on the Belastingdienst site.
Can I use Bilio on my phone?
Yes, Bilio works in your phone’s browser: create an invoice, snap a receipt, see who has paid.
Does Bilio file my taxes?
Bilio prepares the figures; you file them yourself in Mijn Belastingdienst Zakelijk (btw) and in your income tax return. Bilio does not file for you and does not give tax advice.
