AI bookkeeping for freelancers: what it actually does, and what it does not

“AI bookkeeping” in 2026 means four specific things: reading receipts, sorting transactions, chasing invoices, and letting you ask your books a question in plain language. It does not mean an accountant. Here is what each part does, what it gets wrong, and what to check.

1. Reading receipts

You photograph or forward a receipt; a model reads the vendor, date, total and VAT and files an expense. Good tools get the total right on nine receipts out of ten and the VAT split right slightly less often, because receipts print VAT in a dozen layouts.

What to check: the VAT rate on anything that is not a standard purchase, and the currency on foreign receipts. What it saves: the typing, which is where receipts used to get lost.

2. Sorting transactions

With a bank feed connected, the model proposes a category and a match for each transaction: this payment is invoice 2026-047, this debit is Adobe, software. It learns your vendors after a few weeks.

What to check: the first month, everything; after that, the ones it marks uncertain. What it should never do: post anything without you approving, and mix currencies in a total.

3. Chasing invoices

Reminders on a schedule, a note when an invoice is opened but unpaid, a flag when a client’s average payment time slips. Useful because you forget; safe because it never sends without your rules.

4. Asking your books a question

The newest part. Through an MCP connector, your assistant (Claude, ChatGPT, Cursor) can read your invoices and expenses and answer “what did I invoice in Q3?” or draft “an invoice for Kanso for October”. Drafts appear in your tool; you press send. Moneybird, Jortt, Bonsai, FreshBooks and Qonto shipped connectors in 2026; Bilio’s ships in November.

What AI bookkeeping does not do

It does not file your VAT return; you do, or your accountant does, from the figures. It does not know whether an expense is deductible in your situation; that is a rule, and you set it. It does not replace a boekhouder, gestor or commercialista for income tax. And it is only as good as what it can see: a receipt still in your inbox does not exist.

Questions to ask any tool

  • Where is my data stored and is it used to train models? (Bilio: EU, and no.)
  • Can the assistant send anything without me confirming? (It should not.)
  • Can I export everything if I leave? (You must be able to.)
  • What does it cost when my volume grows? (The honest answer is “the same”.)
